Your data and your customers' data

What Hearsay stores about you and the people who answer your surveys, where it's kept, who can see it, and how to get a copy.

Your surveys and the answers you collect belong to you. We never sell them, share them with advertisers, or use them to train AI models.

For the full detail, read our privacy policy and security page.

What Hearsay stores

About you: your name and email address, and your Google picture if you sign in with Google. With an email address and password, we keep only a scrambled hash of your password, never the password itself.

In your workspace: surveys, brands, palettes, coupon codes you upload, files customers upload, and the workspace's plan and monthly usage.

About each response:

  • the answers;
  • the device type, language and time zone;
  • the channel the link came from, and any link fields you passed in the link;
  • how long the survey took.

A customer's IP address is used briefly to stop abuse, and isn't stored with the response. Survey opens are counted per survey and channel, not recorded per person.

You're in charge of your customers' data

For the responses you collect, you're the controller and we're your processor. That means:

  • only ask for what you need, and tell customers how you'll use their answers;
  • don't ask for sensitive details, such as health, financial or ID numbers, unless you have a clear legal reason;
  • if a customer asks to see or delete their answers, they come to you. Write to us if you need help.

Where it's kept

Survey data is stored on Google Cloud in the United States (the nam5 multi-region), encrypted in transit and at rest. Customers never reach the database directly: answers go through Hearsay's own servers, which check every submission.

Who can see it

  • Your team. Only members of the workspace can open its surveys and responses, and their role decides what they can change. See Roles and what each can do.
  • Shared reports. Anyone with a report link sees that report, never contact details, uploaded files or coupon codes. See Share a results report.
  • Webhooks. If an owner or admin adds one, each response is sent to the address they chose. See Webhooks.
  • AI assistants. If you connect Claude or ChatGPT, what you ask for goes to that AI's provider. Customers' contact details stay hidden unless an owner or admin turns that on. See AI assistants and your data.
  • The AI builder. What you type into the AI builder, and the survey it works on, goes to OpenAI to write the draft. Don't paste customers' personal details into it.

We use a few other services to run Hearsay: Google Firebase for sign-in, the database and hosting; Brevo to send our emails; WorkOS for signing in to AI assistants. The privacy policy lists what each one gets.
