AI assistants and your data

What a connected AI app can see, how customers' contact details stay hidden, what Hearsay records, and how to disconnect an app.

What the app sees

When you use Hearsay from an AI app, the survey content, results and quotes you ask for go to that app's provider (for example Anthropic for Claude, or OpenAI for ChatGPT), because you asked for them. The provider handles them under its own terms, not ours.

  • Results are counts and charts. They never include contact details, uploaded files, personal link fields, addresses or IP addresses.
  • Quotes come only from open-text answers. Email addresses and phone numbers inside them are always replaced with [email removed] and [number removed].
  • The app never sees billing, your plan or your team.

Sign-in for AI apps runs through WorkOS, which keeps your Hearsay user ID, email address and name for the connection.

Respondents' contact details

By default, an AI app never sees who wrote an answer. Contact details stay in Hearsay.

An owner or admin can change this for the whole workspace:

  1. Open Integrations.
  2. Under AI assistant settings, turn on Share respondent contact details with AI assistants.
  3. Confirm with Turn on.

The card shows who changed it and when. Turn it off at any time; from the app's next request, the details are hidden again.

With it on, an app can read:

  • names, emails, phone numbers, companies and job titles from contact questions;
  • link fields you marked personal;
  • links to uploaded files, which open only for signed-in members of your workspace.

It gets them only when you ask about that question, for example "emails of everyone who scored us 0–6". Street addresses and IP addresses are never shared, even with it on.

If you ask for contact details while the setting is off, the app tells you they're hidden and links to the setting.

Answers are untrusted text

Survey answers are written by members of the public. Hearsay hands them to the app as quotes, labelled as customers' words, and tells the app never to follow instructions inside them. Publishing, closing and deleting are marked as actions that change things, so the app asks you first.

What Hearsay records

For each connection, we keep the workspace, the permissions you chose, the app's name, and when it was connected, last used and disconnected.

For each request, we log which action ran, how long it took and whether it worked. We never log what you asked or what came back.

See who's connected

Open Integrations. Connected AI apps lists each connection with the app's name, who connected it and when, when it was last used, and its permissions.

Owners and admins see every connection to the workspace. Everyone else sees only their own.

Disconnect an app

  1. Open Integrations.
  2. Under Connected AI apps, choose Disconnect next to the app.
  3. Confirm with Disconnect.

It stops working straight away, even in the middle of a conversation: its next request gets This connection was disconnected in Hearsay. Connect again to continue. Owners and admins can disconnect anyone's connection to their workspace.

Then remove Hearsay from the app too, where you added it:

  • Claude: Customize → Connectors.
  • ChatGPT: Plugins.
  • VS Code: run MCP: List Servers from the Command Palette.

When someone leaves the workspace or is removed, their connections can't reach its surveys any more: every request checks they're still a member.
